Payroll Specialist - Full-time

Permanent Position 


The Payroll Specialist will provide full and comprehensive payroll and benefits support for both the US and Canadian manufacturing sites through involvement in corporate initiatives, and employee programs. The Payroll Specialist is a focused, detailed and solution-oriented individual with a solid knowledge of payroll, tax processing and benefits practices and legal compliances. The incumbent will possess strong attention to detail and accuracy, with the ability to generate ad-hoc reports from pay and HR systems to support strategic staffing actions within budgetary guidelines. In addition, this position requires outstanding organizational and project management skills and will be responsible for payroll and benefits including supporting and administering pay related HR policies, and programs.  This position reports to the Director of Human Resources, North America.  This role will serve as a backup/designate to the Human Resources Specialist duties when the HR Specialist is absent.




  • Ensure the timely and accurate processing of bi-weekly payroll for up to 250 salaried and hourly employees

  • Payroll processing and maintaining of ADP Workforce Now payroll and HR database. Performing monthly reconciliation, remittances, balancing and corrections 

  • Tracking and monitoring of compensation systems: salary, benefit programs, time and attendance management, performance management

  • Performing all year-end-related tasks and reconciliations such as T4’s, T4A’s, T2200, W2, etc.

  • Responding to employee enquires relating to payroll, vacation, sick time, benefit plan etc.

  • Responsible to HR & Finance and is key liaise with auditors

  • Performs routine administrative tasks in support of the payroll

  • Familiar with standard Canadian and US payroll laws and procedures 


Benefits Administration

  • Administers, processes and maintains company benefit programs in Canada and the US.

  • Researches, analyzes, evaluates the corporate plans and programs & responds to inquiries from internal & external sources

  • Familiar with standard concepts, practices and procedures as well as legal requirements 


Training & Development – Backup/Support to HR Specialist

  • Administers and maintains all training records

  • Conducts all new hire training related to HR policies & procedures and Health & Safety

Office Services – Backup/Support to HR Specialist

  • Responsible for all other offices related administration and projects

  • Assist with office projects as necessary

  • Administrator for Concur expense tracking tool for the company


  • 5+ years of progressive HR experience with a focus on payroll and benefit administration

  • Demonstrated experience with US and Canadian Benefits and Payroll processing - required

  • Proficiency in Microsoft Office products (Excel, Outlook, Word & PowerPoint)

  • Exceptional communication skills: verbal, written and presentation

  • High level of critical and logical thinking, analysis, and reasoning skills to lead operational excellence

  • Progressive and forward-thinking; creative

  • Proven ability to deliver results when working independently

  • Positive work ethic and integrity

  • Proactive; demonstrates time management, planning and organization skills

  • Ability to work under pressure and meet deadlines

  • Attention to detail and accuracy is extremely critical for success in this position

  • Demonstrated ability to deal with people sensitively, tactfully and in confidence



  • Minimum College or University degree in Human Resources or related field

  • CHRP/CHRL designation an asset

  • Working towards or completion of a PCP designation an asset

  • Proficiency in Microsoft Office products (Excel, Outlook, Word, Visio & PowerPoint)

  • Minimum 3 years of hands-on payroll processing experience for both Canada & US – a MUST

  • 3+ years of relevant human resources experience both US and Canadian

  • Solid understanding of the principles of US & Canadian payroll processing

  • Experience with ADP Payroll software & HRM – specifically ADP Workforce Now

  • Exceptional oral and written communication skills; excellent interpersonal, organizational skills, coaching and problem-solving skills with proven leadership capabilities

  • Progressive and forward-thinking, creative

  • Strong attention to detail

  • Demonstrated ability to deal with people sensitively, tactfully and in confidence

  • Ability to work in a fast-paced environment

  • Ideally, this individual has experience working in a manufacturing or similar industry environment

  • Police Criminal Background check required as a condition of employment.
